BOX OFFICE MANAGER

Purpose of the Job:

To effectively manage the Box Office operation, maximizing revenue from the sale of tickets and ensuring the highest standards of customer care is maintained. Provide excellent customer service to all theatre patrons, the visiting company and external ticket agencies; and ensure that all revenue generating opportunities are maximized. Maintain the highest standard of presentation; demonstrating a positive attitude; dealing promptly and professionally with all ticketing requests and providing excellent customer service to all patrons of the theatre.

Reports to: Executive Staff 25 hours per week, Tues-Sat (1-6pm)

Duties and Responsibilities:

Front-of-House Management

  • To extract and analyze weekly/daily reports for finance, programming and marketing departments, as requested.
  • Along with the Bookkeeper, control the Box Office budgets including ticket sales.
  • To be responsible for completing relevant documentation in relation to the Box Office operation.
  • To be responsible for the security of the Box Office and any monies taken, and ensure that the Box Office takings accurately balance at the end of the shift.
  • Report time clock hours of box office performance staff to Bookkeeper

General

  • To act as the Box Office system manager (currently Trustus’ ticket system, BookTix) including the configuration of events, cleaning and maintaining the database, installing updates, designing new reports, creating new facilities, fixing technical problems and liaising with the system provider and other suppliers.
  • To ensure that the BookTix system is updated to allow for tickets to be purchased.
  • To load new events on to the box office system prior to each season. 
  • To set up offers and promotions as required.
  • To maintain information files relating to productions on the BookTix system.
  • To ensure the Box Office is kept tidy and clean, ensuring that promotional items are available to customers; to be responsible for setting up front of house.
  • To take care of any special or exceptional circumstances arising from the day-to-day management of the Box Office
  • To maintain stock levels of tickets, stationery and publicity material, ensuring stocks are ordered in line with business needs.
  • To maintain stock levels of bar and concessions inventory, including the ordering and coordinating of alcohol distributors.
  • To ensure that the Box Office provides a high level of customer care at all times.
  • To work closely with the staff to develop a customer care policy ensuring the highest standard of service across the organization.
  • Maintaining cleanliness in all front-of-house spaces, including but not limited to the bar, the lobby, the bathrooms, and the theatre spaces.

Customer Care

  • Maintaining the box office as a friendly and welcoming environment for visitors to the venue.
  • Ensure all box office information such as concessions, policies, production info, and opening hours are accurately and appropriately publicized via the website and recorded phone announcements.
  • Dealing with customer comments and complaints in an appropriate manner.
  • Reserving/booking all volunteer opportunities for shows and special events, including but not limited to: bartenders, house manager, ushers etc.
